Time Matters Basic Training: Save Emails from Outlook

This explains how to save emails from Outlook to Time Matters. Remember Time Matters just copies the email and leaves the original email intact in Outlook.

Use the TM Connect Email button in Outlook

1. Highlight the email you want to save. Press TM Connect Email.

Tell the email which Matter it belongs to

1. The first field is the MatterRef. Start to type and the Matter will auto-complete
2. Enter a code

If Auto-Complete does not help you - Use the Matter lookup (F2 is the keyboard shortcut)

If the auto-complete does not fill in the correct matter, you can press F2 ont he keyboard (or the ...button at the end of the line) and use the Matter Lookup. Use quickpic to find the matter.

Outlook can show you want the Matter

The Matter Reference can be shown as a column. This needs to be configured. Search the How to's for "configure Outlook"

What if an Email has an attachment?

The highlighted email has an attachment.

Should the attachment be in your Document Management System? TM Save Attachment

1. If the attachments should be in your Document Management System, click TM Save Attachment.

NOTE: This option is usefull when the underlying application does not have a TM Save option. In this example, it is a picture file and a TM Save does not exist for these.

Just open the attachment and TM Save

1. If the attachment has a TM Save, just open the document.

Now save the email - TM asks how to handle the attachments

If the attachments are useful, make sure Attachments to the Email is selected. Press OK

Attachments are kept with the email

Click the attachment button to see a list of the attachments

After saving an email the TM Connect Email will say Open TM Email

Highlight the email that you have saved. Notice the TM Connect Email now says "Open TM Email"

Saving many emails at once to the same Matter

1. Highlight all of the emails
2. Press TM Connect Email

Complete the Import Screens

1. Enter the Matter - just start typing
2. Enter the code
3. Enter the proper staff
4. Select your attachment handling options - Save as attachments to email
5. Press ok

Save multiple emails confirmation screen

You will see a confirmation screen telling you how many emails were processed.
